Step 1 - Speak to Steve to make sure he can host - If he cant liase with Kim or Belly to see if they can instead - Steve would need to be able to send them the file in time to host the game.

All members should add him to there address book.

I think it would make sense to get 12 confirmed members before sending the email.

The purpose of the email is to notify the remaining members of the ad-hoc session.

If like friday night you send an email hoping that 12 members will turn up and you dont get 12 then you will possibly ruin members plans if they cancel them to attend the ad-hoc session.

So in future when you send the email name the 12 confirmed names.
